Private Scholarship Notification

If you are receiving a scholarship from an external provider, please let our office know using the corresponding notification form. Our office needs this information to ensure that your total aid package is within your Cost of Attendance (COA), this is the maximum amount of aid your can receive each year. Completing this form ahead of time, and accurately, allows us to account for your scholarships aid in your financial aid package, and make any adjustments in advance to reduce delays in processing your aid, or you needing to return a portion of the funds.

Please be sure to list the exact amount you are receiving each semester to avoid complications in the processing of your form. Your form will be processed within 3-5 business days, and you will receive an email confirmation once processed successfully.

Instructions

Please do NOT include any scholarships received from UMBC, Scholarship Retriever, or MHEC (Maryland Higher Education Commission) on this form.

Examples of awards NOT to include:

  • UMBC _____ Scholarship
  • Scholar Program Awards
  • MD Educational Assistance or Guaranteed Access Grant (MHEC)
  • Senatorial or Delegate Scholarship (MHEC)
  • MD 529 / MD Pre-Paid College Trust Fund
  • Scholarship Retriever Scholarships
  • GI Bill or VA Benefits
  • Tuition Remission
  • Awards already listed on your Financial Aid Package

Examples of awards to include:

  • A non-profit, company, or private donor
  • Your high school or community organization
  • A religious or cultural group
  • Non-UMBC sources

Common Mistakes to Avoid:

  • Please be sure you are listing the award amount sent by your scholarship organization PER SEMESTER.
    • Ex: Chip is receiving a $1000 external scholarship to be split between fall and spring. On the form, Chip will list $500 per semester, and check off each semester they will receive the $500 (see example form here).
    • Student Business Services (SBS) cannot hold onto a portion of the funds sent in the check to be used towards a future semester. The funds sent in the check are applied to that semesters bill, and any excess total aid is sent as a refund to the student. You can then use this towards a future semesters bill.
  • Be sure to select the correct semester the funds will arrive. Check with your scholarship provider if you are unsure.
    • Do not select a semester that you were not actively enrolled in courses (ex: summer).

Where should I send the scholarship check?

Private scholarship checks should be sent to/dropped of at Student Business Services (SBS), at the following address:

The students name, campus ID and the semester(s) the funds are to be applied to should also be included.


When will the money post to my account?

Private Scholarship funds are not disbursed to your account until the check is received by SBS.

  • Check with your scholarship provider on when they plan to send the funds. Keep in mind postal processing times, and allow 5 business days for processing once the check arrives at SBS.
  • Review the Billing section of your myUMBC account to determine whether your scholarship check has been received and applied to your bill, and contact SBS with any questions related to scholarship checks or refunds.

If your check is going to arrive after your bill due date, keep in mind that late fees are typically assessed by SBS on the 25th of the month.

  • Pay your bill up to the amount your incoming scholarship will cover — note that without this step we cannot grant a late fee hold.
    • Provide our unit with the documentation from the provider that states when the funds are expected to be sent
    • Our unit will review your request to determine whether a late fee hold can be granted for the month.
  • Alternatively, you can pay your full bill, and be refunded by your scholarship when the funds arrive.

Let our unit know when this is the case, and we will place a hold on your merit scholarship. Once your private scholarship applies to your bill, you will need to reach out to our unit to remove the hold to allow the remainder of your merit scholarship aid to apply to your account.
